Manage users

The Users area lists everyone in your system and is where you add users, open a user to edit their details, and export the list.

The user list

Select Users to open the list. Each row shows a user across these columns: First Name, Last Name, Username, Email, Sync ID, Groups, Active?, License, Plan Status, Last Logged In, Created At, and Actions.

Above the table you can:

  • Columns: choose which columns are shown. Your selection is kept when you reload the page.
  • Filters: narrow the list to users who match the conditions you set, then clear the filters to return to the full list.
  • Search: find users by keyword.

The footer shows how many users are loaded out of the total, for example "Total Rows: 20 of 303." More users load as you scroll.

Add a user

Select Add and complete the user's details, then save. The new user appears in the list.

Open and edit a user

Each row's Actions column has three controls: View user, Edit user, and Log in as that user.

Select View user or Edit user to open the user's User Details. The edit view is organized into two sections.

Login Information

  • Username.
  • New Password: set a new password for the user.
  • Password Reset Required: when on, the user must set a new password the next time they sign in.
  • Groups: the groups the user belongs to, such as Admin, Alumni, Faculty, and Public Publisher.
  • Active?: whether the account is active. Turning this off deactivates the account.
  • Verified?: whether the account is verified.

Personal Information

Contact and identity details for the user, including School Email, Notification Email, and ID Number.

Save your changes. Edits made here are reflected everywhere the user's record appears.

Sign in as a user

Each row's Log in as control signs you in as that user, so you can see the system as they see it. Use it to confirm what a user can reach when you are looking into a problem they have reported.

Deactivate instead of delete

The Users area does not delete accounts. To stop a user from accessing the system, open their User Details and turn off Active?.

Export the user list

Select Export CSV to download the list as a CSV file. The file reflects the columns you have chosen and any filter or search that is currently applied, so you can export a filtered subset by filtering first and then exporting.
