The Digication Administrator Tools give system administrators the ability to control the level of ePortfolio access that individual users have through the use of Administrator Groups. After creating an Administrator Group, system administrators can add students and faculty to the group, and choose their ePortfolio permission level from the following options:
- None - No added ePortfolio access
- Read - Able to view published content in all ePortfolios
- Read & Write - Able to view and edit all content in all ePortfolios
These increased permission levels are useful for Help Desk employees, Advisors, and any other individuals who could benefit from greater ePortfolio access, but who don’t necessitate full Admin status.
To create an Administration Group, first access the Administration area. How you access the Administration area will depend on whether or not your institution has enabled Digication Kora.
If your institution has not yet enabled Digication Kora, access the Administration area by logging in and appending "/administration" at the end of your Digication institution URL, for example: http://yourschool.digication.com/administration.
If you are using Digication Kora, select the Administration icon from the navigation menu.
From the menu, select Administrators (2).
Select Add New Administration Group (2).
Name your Administration Group using the field at the top of the page (3). Next, scroll down to the ePortfolios section. The three permission levels available are:
- None - No added ePortfolio access
- Read - Able to view published content in all ePortfolios
- Read & Write - Able to view and edit all content in all ePortfolios
Select either Read, or Read & Write (4), to grant the group Viewer access to all system ePortfolios.
To finalize creation of your Administration Group, scroll down and click Save.
Adding Users to an Administration Group
Navigate back to the Administrators page to find the Administration Group you just created.
To find users, scroll through the dropdown menu, or use the search field (1). When you find the user you are looking for, select Add (2). Once users are added to the group, they will have access to all ePortfolios through the Administrator Tools.
Accessing ePortfolios as a Read-Only Admin
Users added to an Administrator group will find a link to the Administrator Tools in their navigation menu (1).
If the Administrator group has Read or Read & Write access, the user will find a link for ePortfolios (2) in the Administrator Tools area.
The user will arrive at a list of all ePortfolios in their system. To access an ePortfolio, click the title (3). The search bar (4) can be used to find a specific ePortfolio. All ePortfolios that have been created in the system will be searchable.
If the Administrator Group has Read access, the user will be able to access all published content in ePortfolios, but will not be able to select the checkboxes for managing featured templates and ePortfolios (5). Managing templates and featured ePortfolios requires Read & Write access.
